New Wholesaler FAQ

Now that you have made the obviously wise and intelligent choice of joining our service, let's get started setting up your account!

We suggest that you print this message out and walk through the steps with the printout next to your computer.

STEP 1: Uploading Your Inventory

The first thing that you should do is send us a copy of your inventory data file.

The most effecient way of doing this is to simply email a copy of your data file as an attachement to inventory@virtcert.com and we will be able set up your account with your data file.

If you keep your inventory data in an Microsoft Excel™ Spreadsheet, read our Exporting Your Excel Inventory Files to VirtCert.com tutorial.

Once your account is set up to work correctly with your company's file formats, read our Uploading Your Inventory to VirtCert.com tutorial for instructions on how to send your files to our service. When you update your files on VirtCert, it is immediately updated on all sites that have access to your inventory through our service..

STEP 2: Granting Authorizations

The next step is to grant access to your inventory to our various retailer members.

Go to VirtCert.com -> Wholesaler Tools -> Authorize Retailers

You will see a list that probably includes only your company in green boxes.

At the bottom of the page there is field labeled "Select the Company:" with a a drop-down list containing a list of the VirtCert Retailer Members.

Click on a Retailer that you would like to do business with.

Click on the button labeled "And Then Click Here To Authorize This Retailer".

You will get a new screen that now shows the retailer in your list, with a Retailer Status of Requested.

VirtCert has just sent an email to that retailer requesting that they approve you to carry your inventory on their web site.

When they approve you, you will receive an email informing you of their approval and your inventory will automatically appear in their web site. You don't have to do anything else.

You probably have already recieved two of these emails when we set up your account. You don't have to do anything with these emails; they are just notifying you that we have set up your account.

Step 3: Uploading Your Images

After your inventory has been uploaded, you can start to upload scanned images of your Certificates, Reports or Photographs. These images will automatically be distributed to all Members who you have authorized to carry your inventory, and will automatically appear in their web sites.

This can save considerable time in faxing documents and increase your sales because customers can find all the sales information they need online immediately, instead of having to call around and wait for faxes to come back.

You can upload images by going to Wholesaler Tools -> Upload Images.

You can upload images as GIF, JPG or PDF files.

If you have many images to be uploaded, or the images are already available online, please contact us for details on how we can automate the upload of your images to our system.

STEP 4: Searching

Once you have uploaded your inventory, you can then use your private search engine to view inventory, complete with price, cost, profit and markup information.

STEP 5: Your Web Site (Optional)

The next step is to put the search engine into your web site.

You can add a Diamond Search Engine to your web site. You can have it password protected or open to the public. If desired, you can even set up with two sections, a public version that does not include pricing, and a Trade-Only version that includes price information. This way you can let the public know what inventory you have available, but refer the customers to your Authorized Retailers to make the purchase.

Since this step is different for each member, please contact us and we'll work with you to get it set up.

STEP 6: You're Done
